Introduction

This page is called a project card. It displays the master data of a project. Whenever you create a project, a new card is automatically created containing the initial information registered, such as the contract, financial, and other information. If you have the necessary function rights, you can also click Edit to add or modify the registered information. The project card not only displays the registered information but also incorporates other information related to the project such as the children, members of the project, and recent requests related to the project. You can click the links under the Project monitor section to view or modify other project related information.

Roles and rights

  • To view project cards, the Administrator, Project administrator, or Production manager role is required. The Edit button for modifying project cards is available only if you have the mentioned roles.
  • To modify the master data, the Administrator, Project administrator, or Production manager role is required. The Edit button for modifying the master data is available only if you have the mentioned roles.
  • To define the competency profile for the project, function right 318 — Maintain competencies, 505 — View payroll components, or 508 — Maintain payroll components is required. Users with the HR role have this function right. The Competency link under the Monitor section is available only if you define the competency method as Advanced. If you have the necessary roles and rights, you can define the method by clicking Edit at Modules ➔ HRM ➔ Setup ➔ General ➔ Settings. Then, on the HRM settings maintenance page, under Competency section, at Method, select Advanced.
  • To assign an existing project as a child to the project registered in the project card, you need to be a member of the project. The Add button for adding existing projects as child projects are available only if you are a member of this project.
  • To create a child project, you need to be a member of the corresponding project. The New button for creating child projects is available only if you are a member of this project.
  • To create or assign a child project, the function right 311 – Create, modify, delete and copy projects when the criterion for Function Right 603 is met is required.
  • To add a new project member, you need to have the Administrator, Project administrator, or Production manager role. The New button for adding a new member is available only if you have the mentioned roles.
  • To maintain an existing project member, you need to have the Administrator, Project administrator, or Production manager role. The Edit hyperlink for maintaining a member, is available only if you have the mentioned roles.

What version are you using?

The information in this document is applicable to product update 263 and higher. If you have versions lower than this, certain features explained here will not be applicable.

How do I view a project card?

  1. On the Projects: Search page, define the required criteria, and then click Show.
  2. Select the required project by clicking the hyperlink in the Project column.

How do I edit a project?

  1. On the Projects: Search page, define the required criteria, and then click Show.
  2. Select the required project by clicking the hyperlink in the Project column.
  3. On the selected project card page, click Edit.
  4. Modify the information, and then click Save. For more information, see Creating and modifying projects.

How do I add members to projects?

  1. On the Project: Search page, define the required criteria, and then click Show.
  2. Click the required project in the Project column.
  3. Click the Members section hyperlink or . The Members pop-up page will be displayed.
  4. At Add members, type the name of the person, and then select the person.
  5. Click Add.
  6. Click Save to save the entry.

How do I create child projects?

  1. On the Project: Search page, define the required criteria, and then click Show.
  2. Click the required project in the Project column.
  3. On the Project: [Project code - Project name] page under the Children section, click New.
  4. On the Project: New page, define the required information.
  5. Click Save.

Keep in mind: All fields with the "!" icon are mandatory.

How do I view the planning, capacity, and availability of employees to be planned for the project?

  1. On the Projects: Search page, define the required criteria, and then click Show.
  2. Select the required project by clicking the hyperlink in the Project column.
  3. On the selected project card, in the Execution column, click the Planning hyperlink. For more information, see Overview of project planning.

How do I view and/or create budgets for the project?

  1. On the Projects: Search page, define the required criteria, and then click Show.
  2. Select the required project by clicking the hyperlink in the Project column.
  3. On the selected project card, in the Start up column, click the Budget. For more information, see Overview of budgets for projects.

How do I view and/or create project deliverables?

  1. On the Projects: Search page, define the required criteria, and then click Show.
  2. Select the required project by clicking the hyperlink in the Project column.
  3. On the selected project card, in the Start up column, click the Deliverables & WBS lines hyperlink.

How do I create activities for the project?

  1. On the Projects: Search page, define the required criteria, and then click Show.
  2. Select the required project by clicking the hyperlink in the Project column.
  3. On the selected project card, in the Start up column, click the Activities & material hyperlink.

How do I view and/or create project rates for the project?

  1. On the Projects: Search page, define the required criteria, and then click Show.
  2. Select the required project by clicking the hyperlink in the Project column.
  3. On the selected project card, in the Start up column, click the Rates hyperlink. For more information, see Overview of project rates.

How do I approve the hours for the project?

  1. On the Projects: Search page, define the required criteria, and then click Show.
  2. Select the required project by clicking the hyperlink in the Project column.
  3. On the selected project card, in the Execution column, click the Hour & expense approval hyperlink. For more information, see Overview of hours and expenses to be approved or rejected.

How do I create letters?

  1. On the Projects: Search page, define the required criteria, and then click Show.
  2. Select the required project by clicking the hyperlink in the Project column.
  3. Click Create letter. For more information, see Creating letters with Word Merge on single processes.

Keep in mind: The Create letter button is available only if the New Word Merge check box under the Word Merge section on the Document: Settings page is selected. For more information, see Setting up documents. This setting is available only for existing users moving to product update 250. From product update 250 onwards, by default, the Create letter button will be displayed.

How do I create e-mails?

  1. On the Projects: Search page, define the required criteria, and then click Show.
  2. Select the required project by clicking the hyperlink in the Project column.
  3. Click Create email. For more information, see Creating e-mails with Word Merge on single processes.

Keep in mind: The Create email button is available only if the New Word Merge check box under the Word Merge section on the Document: Settings page is selected. For more information, see Setting up documents. This setting is available only for existing users moving to product update 250. From product update 250 onwards, by default, the Create email button will be displayed.
